Parent Participation
Swim meets are unique in that there are many jobs involved with running a meet. For this reason, parents from every team participate in each meet, doing some sort of job for about 3 hours. (Each meet starts at 9 am and ends at approximately 3 pm). We require each FAMILY to volunteer 15 hours during the entire season, which works out to be 3 hours per meet (including Championships). You don’t need any special skill for most of the jobs, and you will be trained for each position. It’s best if you choose one job to do throughout the season.

PARENT JOBS AT THE MEETS
Announcer-Announce the events start the races and keep the meet running smooth. Coordinating that all the timer are in their spot and that the swimmers are in the right stance to began racing. Working close with assistant announcer and stager.
Assistant Announcer- Keep the announcer on track making sure that any changes are relayed to him/her throughout the meet. Keep the event number flip chart current. Be the point person at the announcers table to answer questions or concerns that arise throughout the meet.
Stager- Supervises the staging area where swimmers line up, making sure each swimmer is in correct lane at correct event/heat. Communicates with the announcer making sure any changes or hold up are acknowledged. Keeping organized and able to answers many questions coming at you.
Timer- Start and stop the stop watch as races began and end. There are at least 2 or 3 other timers in same lane and one will be the recorder of the times.
Back up Timer- doing the same thing as a time just not assigned to a lane unless some calls for back up because they didn’t start their watch.
Stroke and Turn Judge-This person watches swimmers for proper form and technique, and can issue warnings or even disqualifications. You will be walking the pool side and assigned to half the pool lanes. You will work with other judges. This job requires training at the annual clinic or by reviewing the USA Technique CD (which the pool provides) and reading the League technique rules. Each team is required to have 4 judges trained.
Line Judge- This person watches the swimmers touch the wall with any part of their body and records on a sheet of papers which swimmer touched first, second etc. You are not judging the swimmer stokes just the placing of the event.
Lane Slip Runner- This person collects the lane slips after times have been recorded and race is over. Also collects the line judge slip and the stroke and turn judge slips, get them to the computer table. (Preferably putting in order by events.)
Computer Person (shift jobs)- Organize the collected lane slips organizes them by event being sure to put any DQ’s with that event and gives them to the Data Entry Person. Then the data entry person enters the times in computer and prints out results and ribbons stickers. The main computer person will be available at the beginning of each shift if instructions are needed.
Ribbon Writer- This person will put the results sticker on the appropriate ribbon for both teams. Then separate the ribbons by team. When there is lag time our team ribbons need to be filled in our team box under the swimmers name.
Age-Group Parent- We use a group parent for ages up to age 12. One parent for 6 and under, 7-8, 9-10, 11-12. This person organizes the swimmers from their age group throughout the day of the meet. You gather the kids as a group prior to going to the staging area and then get them to the correct lane. This job works best for the kids if one or two persons do this job throughout the year because it helps them not to get confused.
Snack Bar Workers- You will help at the snack bar, serving food, restocking the tables and taking monies. There is a chairperson that is making sure all the food and supplies are ordered and ready, that person will be there at each shift change to help with any questions. A worker will also take water around to the workers around the pool. There will be one worker that will be an early starter at 8am for the arrival of teams and for the set up of the tables and food.
Hospitality- Make lemonade, ice water or ice tea in the snack bar area. Pour in cups and serve to all the workers around the pool area. This needs to be done every 30 minutes.Click on Meet Link to see volunteer assignments for that meet:
